Seenbox

Privacy policy

Last updated 26 October 2026

Seenbox helps small businesses send email to their own contacts and see what happened to each email. This page explains what personal data we handle, why, and what you can ask us to do. Seenbox is based in Kolkata, India.

Who this applies to

  • Customers: businesses and people who use Seenbox to send email.
  • Recipients: people who receive an email sent through Seenbox on behalf of a customer.
  • Visitors to this website.

What we collect

  • From customers: name, email address, business name and postal address, and the sending domain they connect.
  • Contact lists customers upload: email addresses and, if the customer includes them, first names, company names and similar fields. For this data the customer decides what to send and to whom, and Seenbox processes it on the customer’s behalf.
  • Email activity: for each email, whether it was delivered, bounced, opened, clicked or reported as spam, with the time, and technical details such as the device type and IP address of an open or click.
  • Records of what was sent: the subject and text of each email, so a customer can see exactly what each person received.
  • Website visitors: this website does not use advertising or analytics cookies. It loads its fonts from Google Fonts, so your browser contacts Google when you visit. Our hosting provider may also keep basic server logs.

Why we use it

  • To send the emails a customer asks us to send, and to show the customer the results.
  • To keep sending safe: removing addresses that bounce, complain or unsubscribe, and pausing a campaign when problem rates rise.
  • To secure the service, prevent abuse and fix faults.
  • To answer questions and requests you send us.

We do not sell personal data and we do not use it for advertising.

Tracking in emails

Emails sent through Seenbox can contain a very small image and links that pass through our server. They let the sender see whether an email was opened or a link was clicked. You can stop this recording images by turning off automatic image loading in your mail app, and you can stop all future emails from that sender using the unsubscribe link in each email. See the email policy.

How long we keep data

  • Detailed technical records of email events: 90 days. Summary records of events: up to 24 months.
  • The text of sent emails: up to 12 months. Basic records of what was sent: up to 24 months.
  • Uploaded files: deleted 7 days after they are processed.
  • Addresses that have unsubscribed, bounced or complained: kept for as long as the customer account exists, so the address is never emailed again.
  • When a customer closes their account, we delete their data on request, as described below.

Who we share data with

We use service providers to run Seenbox, including cloud and email infrastructure such as Amazon Web Services and a hosting provider for our servers, and error monitoring. They may only use the data to provide their service to us. We may also disclose data if the law requires it.

Where data is stored

Data is stored with our cloud and hosting providers, which may be in India or in other countries. We use encryption in transit and at rest where available, restrict access to the people who need it, and keep each customer’s data separate from other customers’ data.

Your choices and rights

You can ask us to give you a copy of your personal data, correct it, or delete it, and you can object to us using it. If you received an email through Seenbox, the quickest way to stop it is the unsubscribe link in that email. For anything else, write to support@seenbox.in. We aim to reply within 7 days. If you are not satisfied, you may complain to the relevant data protection authority.

Children

Seenbox is for businesses and is not directed at children.

Changes

If we change this policy, we will post the new version here with a new date.
